Our Accela 101 Basics Training will be starting a new 3-part series Aug. 16. It's been slightly delayed due to staff schedules but will be back on track starting Aug. 16.
Each weekly training session will be offered to assist agencies who have lost their in-house experts/trainers or are needing a refresher of the basics. We have a lot of agencies that have lost their experts or are dealing with recent or high turnover, so training to ‘hit the ground running’ is now being offered. Submit a ticket to the Kayako helpdesk to request information on the current training schedule and availability. We plan to provide training every week on Tuesdays from 9:30 a.m. to noon. We are offering a Public Work focus training scheduled on Thursday, Aug. 18 from 9 to 11 a.m. This training will be offered remotely also thru Teams. If you are interested in this added training and your agency has the PW module – even if you’ve already been trained by your coworkers, I would recommend this ‘by design’ training to learn some of the unique features and details of this module.

The new iOS Oregon Inspector App will be available for download on Monday, Jan. 13, 2020. The app will be available for iPhone and iPad devices at launch with an Android version available at a future date. We have worked with CityGovApp to create an alternative to the current Accela Inspector App to allow for Oregon customization, faster bug fixes, and better support. The Accela app will still be available, but you will also have the option to use the Oregon Inspector App. In fact, both apps can be installed on your iOS device at the same time. Live Online Training Available: The Oregon Inspector App is similar in functionality to the Accela Inspector App, so the learning curve should not be too great. But for ease of use, Jerod Broadfoot from the ePermitting Program will be providing the following five live online training sessions using GoToMeeting next week:

Download the App: IMPORTANT NOTE: The Oregon Inspector App cannot be found on the App Store. Instead, you will download the app from a webpage. Download instructions are available here. Apple no longer allows apps to be published on the App Store that are considered “internal use only”, like the Oregon Inspector App so you will be using this webpage for downloading the app going forward. There will also be a Mobile Device Management (MDM) file available for those agencies whose security policies require an MDM file. Our next Focus Training will be taught by Kelly Marshall and will provide some helpful guidance on how to transfer funds from one record to another and how to run a fund transfer report.

Our next Focus Training will be taught by Kelly Marshall and will provide some helpful guidance on what reports automatically save to documents, how to re-generate certain key documents like Certificates of Occupancy and Permits, viewing documents once saved/uploaded, what document types use the built-in viewer and which don’t, info about document permissions, and how to delete documents and edit document details.
It will be held on Tuesday, Nov. 20, 2018, from 10 – 11:30 a.m. Up to 12 participants can attend the class so please send an email to [email protected] and let her know how many from your office plan on attending the training session. Our next Focus Training will be taught by Kelly Marshall and will cover Workflow and Activities – how to use these together to document your process and notify others involved.
In this training, we will cover the added functionality of using workflow notifications, and then how activities will record the work you do between tasks. Both can offer greater efficiency in documenting your process from beginning to end. The training will describe the differences between COA and Standard Conditions, where COA appear, and best practices in using COA. The next Focus Training will cover a new web-based data tool called Analytics Dashboard that will soon be available. Celina Patterson, ePermitting Program Manager, will demonstrate Analytics Dashboard that is being developed for us by CityGov Apps against our Accela database. The training will outline how the tool can be used for jurisdiction staff and also show the agency data that will be made available for the public to see. The training will outline how to toggle the display of a Condition of Approval on/off, how to ensure pending inspections are displayed on the permit, and that the homeowner displays properly when they are the one performing the work. In the next Focus Training Chrissie Deibel will demonstrate and discuss Exception Payment Methods: Credit Memo, Fee Waiver, Write Off, Journal Entry, Billed, Refund Check and Fund Transfer. The reports used to reconcile and track these payment methods will be reviewed: Refunds Issued, Revenue Exceptions, Records with Billed Fees and Funds Transfer. Providing end user training for the Accela software and the Oregon Standard Model has been an ongoing challenge for the ePermitting Program and our jurisdictions. In an effort to cover training needs, beginning in June we will provide short monthly focused trainings. The topics will cover the most challenging issues and questions we regularly see. Our first focus training topic will be “Using the ‘Deposit Slip’ and ‘Daily Summary’ reports” which will be held on Tuesday, June 20, 1:30 – 2:30 p.m. During this class, Chrissie Deibel will unveil the new Deposit Slip report and review the Daily Summary report. She will describe the report parameter inputs and demonstrate how the reports behave for full payments, partial payments, refunds, voids, non-money payments, fund transfers, and moving money from a previous payment. This class will be especially interesting for those who perform daily money balancing.
